Prevent stress by easily and quickly gain insights in your unpaid invoices

Unpaid invoices, having to wait for your money. Situations almost every entrepreneur has to deal with, but which often causes feelings of stress, uncertainty or even frustrations. What are you doing to prevent this and to stay in control of the situation as much as possible? With the help of the role center in 3PL Dynamics, you can provide clarity in your credit management, you can easily display open items and you can quickly (make colleagues) take steps on expired items.
Gain insight in expired items quicker
When setting up the role center, you have become familiar with Boltrics’ standard historical open entries. In this set up screen you can choose categories yourself and you can attach colors to the tiles in the overview on your home screen. However, the item list must be obtained every time again.
When you want to make your credit management more active, you can choose to gain insights in expired items quicker and assign activities to yourself or your colleagues directly.
Make use of cues in your role center
With cues in the role center, you can streamline the processes by quickly displaying information in the different tiles. This can also be used in your credit management. Through cues, you can easily keep track of your open items. Furthermore, you can directly assign activities to other users. This helps you to set up a part of the credit management yourself for a certain profile.
The visualization of your cues
Cues can help your credit management. When you are setting op the cues, you can best do it for users with the same role center. In the example below, we use the role ‘BP_ADMINISTRATEUR’.
As you can see, the cues are divided into two groups. Group 1 consists of open, and therefore expired, customer items in various gradations. These gradations are calculated based on a date calculation formula. This way, you can easily see how many open items there are and how long these items have already been expired. Do you want to have more information about the open items? Then you can directly click on the specific tile.
Group 2 consists of actions from the action register. Credit management is in its definition all the actions you take to make sure your customers pay their open invoices. These actions can be assigned to users in your organization. Only that specific user sees the action in his or her role center. When the actions are completed, they can still be found in the list, but aren’t taken in to consideration when calculating the items on the tiles anymore. Therefore, you always have an up-to-date visualization of the actions that are required.
Set up cues
In the different role centers, you can display different cues. Which Cce is shown to which profile is up to you. You can set this up yourself through WMS PROCESSOR ACTIVITY SETUP.
First, you link the specific cue to a profile (1). Then, you fill in which table is the source of the information in your tile (2). To set up different gradations, as is done in group 1, you use filter lines to one or more field conditions (3). Last, you link the cue to a display page with its page id (4).
Boltrics created a special page for the credit management: 11237396. Because of this page, open actions are also shown when you click on an open customer item.
Add filters to your tables
To offer yourself or a coworker more clarity in your credit management, you can distinguish different gradations in open items, as has been done in the example so far. In this way, you can easily see how long the customer items are already open. To do so, you make use of filter lines.
Set up filters step by step
In the table below you see the filter lines with specific date functions that are programmed to distinguish date categories. In this way, you can present the open items based on the expiration date of the invoice.
In the earlier example, the highlighted fields are used.
1. The filter should be set up as following in order to filter the open customer items.
2. To filter activities on username, you set up the function USERID.
Use the same cues for your suppliers
Besides credit management, you can also use the cues in order to get an overview of the open items of your suppliers. When you want to set up the same tiles for your open supply items, you link the tiles to table 25, page 29. Note: it is not possible to assign activities per supplier.
