Run your invoices while you sleep

Getting rich while you sleep? Who wouldn’t want that? Many people dream about it. Making money while doing nothing. Now I don’t dare to claim that reading this blog post can make you a millionaire from one day to another. But I do have a step-by-step plan to allows you to put Microsoft Dynamics to work at night while you’re enjoying a good nap. A teeny weeny bit getting rich while taking a nap.
Save time and put Microsoft Dynamics to work
Depending on the number of custody fees, customers, batches, and locations, running your invoices may take some time. Your Dynamics session will be blocked, allowing you some spare time to get coffee for your colleagues. But what if they have just had coffee from another colleague? Then you can better plan this process and immediately continue with your work.
And that becomes very easy with a standard function that is available in Microsoft Dynamics saving you tons of time and a lot of manual actions. In this blog, I explain step by step how you can set this function yourself.
A step-by-step plan that helps you save time
Do you work with the windows client? Then follow this step-by-step plan >>
Step 1: Step 1: Search via the search bar for “Create invoice” en selecteer de functie “Create invoices…”
Step 2: The screen ‘Create Sales Invoice’ opens. Enter the desired period and, if desired, the customer for whom you want to create a sales invoice. Have you entered all the necessary data? Then it is time for the next step.
Step 3: At the bottom of this screen, you will find the button ‘Send to …’
Here you can choose from various options, including the option ‘Schedule …’.
Note: Before confirm this option, it is important that the correct values are entered in this screen. Think of ‘Invoice up to date’, ‘Posting date, Customer number, etc.
Step 4: Next you will be forwarded to the ‘schedule screen’. Here you can indicate when these invoices need to be created. Important here is that the ‘Earliest Start Date/Time’ is filled. The ‘Expiration Date/time’ may remain empty.
Step 5: Click on ‘OK’, and Dynamics will give you the message as shown below and from that moment a job queue has been created.
Optional: Navigate via the search bar to ‘Job Queue Log Entries’ to see an overview of the task waiting.
Windows client: a step-by-step guide
Step 1: Navigate to your invoice overview.
Step 2: Click on the ‘Create invoices’ button.
Step 3: A pop-up window opens ‘Create Sales Invoice’. Enter the desired period and, if desired, the customer for whom you want to create a sales invoice. Have you entered all the necessary data? Then it is time for the next step.
Step 4:At the bottom, you will find the button ‘Print …’ – here you also have the option ‘Plan …’.
Note: Before pressing this button, it is important that the correct values are entered in this screen. Think of ‘Invoice up to date’, ‘Posting date, customer numbers, etc.
Step 5: Next you will be forwarded to the ‘schedule screen’. Here you can indicate when these invoices have to be created. Important here is that the ‘Earliest Start Date/Time’ is filled. The ‘Expiration Date/Time’ may remain empty.
Step 6: Next hit ‘OK’. From that moment on a job queue has been created.
Navigate to ‘Job Queue Log Entries’ to see when the sales invoices will be created.
